Privacy Policy

A legal disclaimer

High Performance Media Limited is committed to protecting personal data collected during the production of video, film, and audio content. Acting primarily as a data processor on behalf of its clients, the company ensures the secure collection, handling, and storage of personal information used for legitimate business purposes. Data may include written consent forms, video and audio recordings, and still images, and is only collected with appropriate consent. Materials are stored securely and shared with clients via protected platforms. High Performance Media does not sell personal data and uses client information only for business communication and marketing. The company may use client-approved content for its own promotional use unless instructed otherwise. Its website uses only essential, non-identifying cookies to monitor site performance.

Collection and Use of Personal Data

We collect and process personal data in the course of our legitimate business as a creative

production company. This may include details about our clients, their employees, and any

individuals who appear in or contribute to audio-visual productions.

In most cases, High Performance Media Limited acts as a data processor on behalf of our clients -

the data controllers - who retain ownership and legal responsibility for the content and associated

data. This includes responsibility for informing individuals about how their data will be used. If you

appear in a production commissioned by one of our clients, we recommend reviewing their specific

privacy policy for further details.

As data processors, we are responsible for maintaining the security and confidentiality of personal

data while it is in our care.

Types of Data We Collect

We collect information in various formats, including:

- Written consent forms

- Video footage and still images

- Audio recordings

- Graphic and design elements

- Handwritten or printed notes relevant to production

This data is necessary for writing, filming, editing, and delivering the final productions - which may

include videos, promotional films, audio pieces, presentations, or other forms of communication.

Consent and Notification

When filming or recording individuals, whether they are employees of a client or members of the

public, we follow our clients' procedures regarding consent. This may involve obtaining verbal or

written consent, as outlined by the client.

At public or corporate events (e.g., conferences, training sessions), we ensure that signage or

notices are clearly displayed to inform attendees about the filming and provide access to the client's

privacy policy. We also support opt-out processes, where applicable.

If our clients require us to gather individual release forms, we will do so and return these to the client

for their records.

Data Security and Storage

We collect information in various formats, including:

- Written consent forms

- Video footage and still images

- Audio recordings

- Graphic and design elements

- Handwritten or printed notes relevant to production

This data is necessary for writing, filming, editing, and delivering the final productions - which may

include videos, promotional films, audio pieces, presentations, or other forms of communication.

Types of Data We Collect

All material collected - including raw footage, stills, and project files - is stored securely, whether on

physical media or digital platforms. These are kept safe in our vehicles or premises and

subsequently transferred to our in-house editing systems or to trusted third-party post-productionpartners, all of whom are required to adhere to strict privacy standards.

During the editing and review process, material may be shared with clients through secure,

password-protected services (such as Vimeo). Access is limited to authorised individuals, and we

maintain a record of who has been granted access.

Once the final production is complete and approved, it is typically delivered via a secure file transfer

service such as WeTransfer. The completed production becomes the legal property of the client,

and they assume full responsibility for its use and distribution.

Use of Material for Marketing

We may use excerpts or clips from completed client projects for our own promotional purposes (e.g.,

website, showreels, presentations), unless our client requests otherwise. We will always respect

such requests.

Client Database and Communications

High Performance Media Limited maintains a secure internal database of client and business

contacts for the purpose of conducting our legitimate business - including updates, marketing, and

relationship management.

- We do not sell or share your information with third parties.

- Any person on our database can request to have their data removed at any time.

Website Cookies

Our website uses only essential cookies for Google Analytics, which help us understand how users

interact with the site. No personal data is recorded by these cookies, and they are used solely to

improve website performance and user experience.

Commitment to Privacy

We are committed to protecting both personal and corporate data. If you have any questions,

concerns, or wish to exercise your rights under applicable privacy laws, please contact us directly.
